Why Hire a Property Manager?

Understand the responsibilities, records and decisions involved in a written property-management agreement.

A management agreement defines the work

Hiring a manager delegates specific responsibilities. It does not guarantee rent, occupancy, appreciation or investment returns. Start by identifying the property, the parties, the records available and the tasks you want help coordinating. Compare proposed services against the written agreement, including exclusions, owner responsibilities, spending authority and termination provisions.

Rental marketing and application records

Management work can include preparing listing information, arranging inquiries and showings, collecting application documents and maintaining a screening record. Confirm the agreed criteria and decision process. Marketing and screening do not establish that a property will lease within a particular period or that a resident will always pay on time.

Rent collection and owner reporting

Organize due dates, payment records, follow-up steps and statement questions. Review transactions against the lease and available supporting records. The owner and manager should agree on reporting frequency and a contact for discrepancies. Collection activity is a process, not a promise of uninterrupted cash flow.

Maintenance and vendor coordination

Record the issue, the property location, photos when safe, access information and owner authorization requirements. Obtain and review vendor proposals where appropriate. Vendor rates and availability must be confirmed for the actual work; discounts are not assumed. Keep the scope, approval, invoice and completion record together.

Emergency intake and escalation

AI-assisted intake can collect requests outside office hours. After-hours emergencies can be escalated to wake the responsible person. There is no continuously staffed 24/7 on-call team. For immediate threats to life or safety, call 911 first. For an after-hours property emergency, call 484-482-8660 and provide the address and a clear description. Do not wait for an online reply when immediate emergency assistance is needed.

Evaluate the fit before signing

Ask who handles each task, how authority is documented, what records the owner can access and how open matters are handed over. Compare actual fees and scope rather than assuming that management will pay for itself. Bring leases, existing vendor agreements, current financial records and the list of unresolved property issues to the initial conversation.
